Why Is My Computer So Slow? The Honest Answer for a Work PC
Slow computer at work, slow startup, slow Windows 11. What actually causes it, what you can fix in ten minutes, and how to tell when the machine is simply finished.
Why is my computer so slow is the question behind an enormous number of support tickets, and the answer is rarely the one people expect. It is almost never a virus, and it is almost never something a cleanup utility fixes.
For a business PC, the causes sort into four buckets: too much running at startup, a drive that cannot keep up, not enough memory for what the person actually does, and a machine that is old enough that no amount of tuning changes the outcome. Work through them in that order.
First, narrow it down in sixty seconds
Ask two questions before touching anything.
Is it slow at everything, or slow at one thing? A PC that boots fast and runs fine except in one application does not have a hardware problem. It has an application problem, or a network one. If the slow thing is anything that talks to a server or the cloud, read why the office Wi-Fi is slow before you spend an afternoon on the laptop.
Is it slow all the time, or slow after it has been on for days? People stopped shutting down their computers years ago. A machine that has been awake for three weeks with 40 browser tabs open is not broken. Restart it properly, and note that Restart and Shut Down do different things on Windows because of fast startup. Restart is the one that actually clears everything.
Cause 1: too much starts with Windows
This is the top cause of “my computer takes five minutes to be usable in the morning,” and it is the easiest to fix.
Software installs itself into startup constantly. Teams, Adobe, Dropbox, printer utilities, vendor updaters, the tool someone tried once in 2023. Each one takes time and memory at boot and never gives it back.
To see the damage:
- Press Ctrl + Shift + Esc to open Task Manager.
- Go to the Startup apps tab.
- Sort by Startup impact.
- Right-click anything with High impact that the person does not need at login, and choose Disable.
Disabling a startup entry does not uninstall anything. The app still opens when someone clicks it. This is safe, and it is reversible.
While you are there, look at background apps too. Under Settings, Apps, Installed apps, an app’s Advanced options include background app permissions. Setting the noisy ones to Never stops them running when nobody is using them.
Cause 2: the drive
This is the single biggest hardware factor and the one most people never check.
If the machine still has a spinning mechanical hard drive, that is your answer and nothing else on this list matters much. A mechanical drive is slower than an SSD by a wide margin, and modern Windows plus Microsoft 365 plus a browser is far more demanding of a drive than what those machines were sold to do. Swapping to an SSD is the highest-value upgrade an old PC can get, and it is usually a few hundred dollars installed.
The other drive problem is space. A drive that is nearly full slows down badly, because Windows needs room for temporary files and virtual memory. Open Settings, System, Storage and look. If free space is in the single-digit gigabytes, clear space before doing anything else. Storage Sense in that same screen will handle the routine cleanup on its own.
Cause 3: memory
Open Task Manager, go to the Performance tab, and look at Memory.
If usage sits above roughly 80 percent during normal work, the machine is short on RAM for the job it is being asked to do. Windows starts moving data to disk to cope, and that is what people feel as everything being sluggish at once.
8 GB is the number that causes most of these tickets now. It is enough for Windows and one or two applications. It is not enough for Outlook plus Teams plus a browser with thirty tabs plus a line-of-business app, which is what a normal office day looks like. On many business machines RAM is a cheap upgrade, and on many thin laptops it is soldered and cannot be upgraded at all. Check before you promise anyone anything.
Cause 4: the machine is old
At some point, tuning stops working, and the honest advice is to stop.
Signs a PC is done:
- It shipped with a mechanical drive and RAM that cannot be expanded
- It cannot run a currently supported version of Windows
- The fan runs constantly and the case is hot to the touch during ordinary work
- It has already had an SSD and a RAM upgrade and is still slow
Windows 10 reached end of support on October 14, 2025, and machines still running it are not just slow, they are unpatched. We wrote about what that means for a business, and the short version is that it stopped being a performance question and became a security one.
Do the arithmetic before you repair. If someone loses fifteen minutes a day to a slow machine, that is over an hour a week, which over a year costs far more than a replacement laptop. Machines should be replaced on a schedule instead of when they fail, which is why hardware refresh belongs as a planned line in your IT budget rather than an emergency purchase every time one dies.
The things that are usually not the problem
Worth saying plainly, because these waste time and money:
- Registry cleaners and PC optimizer utilities. They do not meaningfully help, some cause damage, and a few are adware wearing a nice logo. Do not install them.
- Antivirus, plural. Two security products on one machine fight each other and both get slower. One is correct.
- Visual effects. Turning off animations helps a little on very old hardware. If you want it, search the Start menu for “Adjust the appearance and performance of Windows” and choose Adjust for best performance. It will not rescue a machine with a mechanical drive.
- A virus. It happens, and it is worth a scan. But in a business with working endpoint protection, malware is far down the list of likely causes, and people reach for it first because it is the explanation they have heard of.
When it is more than one PC
If several machines slowed down around the same time, stop looking at the machines.
That pattern usually means something shared: a network problem, a server or line-of-business application under strain, a security tool pushed to everyone that is heavier than expected, or a Windows update that landed badly. Fixing five laptops individually when the cause is upstream is how a whole week disappears.
Machine performance is also something worth watching rather than discovering. Knowing which PCs are short on disk, short on memory, or past their replacement date turns a recurring complaint into a scheduled purchase, and it is a standard part of managed IT.
